Setting Up a Natural Person Portal

The Portal Management section under Administration enables the iComply Admin to configure each of their portals to match their compliance requirements.

Follow the steps below to set up a Natural Person Portal:

  1. To access the Portal Management tab click Administration on the top right corner followed by selecting Portal Management on the left sidebar.

 

2. Click Add Portal.

 

3. Fill in and complete the New Portal details, including:

Name - This is the name of the portal (only your internal team will see this)

Portal Enabled - This setting allows you to enable or disable the portal. If the portal is disabled, clients will not be able to access it.

Domain Pathname - This setting allows you to set the domain for your clients to access the portal. (We recommend adding “main”, or “naturalperson” to the end of the pathname)

Default - This setting allows you to configure the portal as the default one in use if you have more than one portal in the system. 

Tags - This setting allows you to configure custom Tags. These tags enable each portal to be easily identified when used. This means that when a user completes a KYC process on a particular portal, the tag associated with that portal will be displayed as the source of the user's KYC data in the Entities section. Tags are useful when you have more than one active portal in the system

Type - This setting allows you to configure the portals to either Natural Person or Legal Entity. Make sure to select Natural Person during this step. 

 

4. Once all this information is filled in click Advanced Setup.

 

5. Advanced Setup will navigate you to the Portal Settings page. Click the Domains tab to add any custom domains. *Note - all portals come with an Auto-generated domain that you can add to your website or send to your client to access the portal. 

 

6. After creating a new portal and configuring its domains, the next step is to set up the portal itself. In the Modules section, you will find a list of all the available modules that can be enabled within the Natural Person Portal.

*Note -  All Enabled modules will be displayed to your clients in the portal.

 

7. Landing Page: The first module is the landing page, which serves as the initial point in your portal's workflow. It can be enabled or disabled, and the on-screen text is fully customizable. You can also apply custom tags to a subject when they initiate the workflow to indicate that they are still in progress. Conversely, you have the option to remove a tag from the subject to track when they have successfully completed the workflow.

  3. Add your Screen Message

 

8. Consent Gateway: The second module is the Consent Gateway. It can be toggled on or off, and the on-screen text is entirely customizable. You have the ability to display a Data and Privacy Consent message on this page, which the subject must accept to continue. If the subject declines consent, you can choose to have them return to the previous module, or you can redirect them to a designated Fail Redirect URL

9. Personal Details: The third module is the Personal Details Module, and it cannot be deactivated; it is mandatory for subjects to complete. In this module, individuals will input their contact information. You can include additional customizable text within this module. You have the flexibility to display and require specific fields in the Form Fields section, and you can also choose to verify the email address and phone number using two-factor authentication if needed. Additionally, you can apply custom tags to a subject when they initiate the workflow to indicate their ongoing status. Removing a tag from the subject helps track when they have completed the workflow. The module also offers API options for further customization and integration.

 

10. Additional Details: The fourth module is the Additional Details module, and it can be activated or deactivated at your discretion. The text displayed on the screen is fully customizable. Within this module, you have the choice to display and require specific fields in the Form Fields section, such as Employer Name, Industry, Title, Role/Occupation, and inquire whether the individual is a Politically Exposed Person (PEP). You can also utilize custom tags to track a subject's status when they initiate the workflow and remove tags when they complete it. Furthermore, the module offers API options for further customization and integration.

11. Address Information: The fifth module is the Address Information Module, and it cannot be deactivated; it is obligatory for subjects to complete. In this module, individuals will provide their address details. You can include additional customizable text within this module. You have the flexibility to display and require specific fields in the Form Fields section as needed. Custom tags can be applied to a subject when they initiate the workflow to monitor their ongoing status, and you can remove these tags when they complete the workflow. The module also offers API options for further customization and integration.

12. Document Verification: The sixth module is the Document Verification Module. This module is activated when a subject is required to submit a government-issued ID to verify their identity. Within this module, you have several options:

  • Require the submission of 2 ID documents.
  • Collect identity documents as the first step and ask the user to confirm the extracted information.
  • If both toggles are enabled, the system will automatically extract information from the driver's license, which typically contains the address.

You can specify the number of retries a subject is allowed if they fail the verification process or encounter issues with their document uploads.

You have the flexibility to select the jurisdictions from which the IDs will be accepted. By default, the system will accept driver's licenses, identity cards, and passports from all jurisdictions.

These options allow you to tailor the document verification process to your specific requirements.

  3. Enable Collect identity documents as the first step and ask the user to confirm the extracted information toggle

 

13. Biometric Authentication: The seventh module is the Biometric Authentication Module. This module is activated when you require the subject to undergo a live face match test or upload a selfie. Within this module, you have several options -  first turn on the Module Toggle:

Specify the number of retries a subject is allowed if they fail the verification process or encounter issues with their uploads - we recommend leaving it at 3 retries. 

Select the Jurisdictions from which the subject's biometric data will be accepted - leave as is to accept all jurisdictions.

Set the Biometric Confidence, which is the required percentage of the overall facial match score that the subject must achieve to pass - we recommend leaving it at 50%.

Enable specific facial expressions that the subject must complete during their verification - these will be randomized during verification. 

Choose to end on a positive note, where the subject performs the "happy" expression last.

There is also an option to fall back to Selfie Upload if the Liveness Test is not supported by the user's device, prompting the user to upload a selfie instead - we recommend leaving this turned off.

 

14. Create AML Case: The eighth module is the Create AML Case Module. You should activate this toggle if you want to conduct an Anti-Money Laundering (AML) screening on the subject as part of the onboarding process through the portal. 

You should not select the "Enable All" toggle if you want to run a screening for ALL subjects during the portal verification process. This module allows you to selectively apply AML screening based on your criteria.

** NOTE: To make this module work effectively, you must have a risk screening profile already configured in the administration settings, specifically under the Risk Screening section.

  2. Click Risk Screening Profile to select the risk screening profile that you are required to use at the portal verification

 

15. Supporting Documents: The ninth module is the Supporting Documents Module. Activate this module if you require the subject to upload any supporting documents as part of the portal flow. This way, you can effectively collect and verify the necessary documents from the subjects during the verification process.

**NOTE: To ensure the proper functioning of this module, you must have the supporting document types preconfigured in the administration settings, specifically under the Supporting Documents section. 

  1. Turn on the Module Toggle
  2. Click Add Supporting Document Module 
  3. Under Document Type select the documents you need your clients to upload.

 

16. Final Screen: The final module is the Final Screen Module. This module is utilized to inform the subject that the portal verification process has reached its conclusion. The text displayed on this screen is fully customizable, allowing you to convey any necessary information or instructions. Additionally, you have the flexibility to apply custom tags to a subject when they initiate the workflow to indicate their ongoing status, and you can remove these tags when they have successfully completed the entire verification process. This module serves as a clear endpoint for the subject's journey through the portal.

  1. Add the Title of the Final Screen
  2. Add your Final Screen Message - eg. Thank you, we have received your submission! 

 

17. Once all modules have been configured save the changes at the top of the page. 

 

18. Styling

The Styling tab is where you can set up your company's branding (Color schemes, Font, and Company Logo) to be reflected on the portal.
